Job Description:
JOB SUMMARY: This opening has been created to replace a current employee on extended leave of absence, which is expected to be 16 weeks. The purpose of this position is to provide comprehensive office clerical and administrative duties for the Human Resources Department while ensuring excellent customer service to employees and applicants. RESPONSIBILITES: - Assist recruiting efforts of Assistant Director by posting open positions using our automated applicant tracking system on the College website as well as in the local community
- Inform the College community of available positions through email and physical postings, adhering to the department's posting policy
- Prepare applicants for interviews by providing them with forms and administering necessary tests
- Update employee database and staffing summary reports as employees are hired and terminated
- Create offer and decline letters after positions have been filled; notify all applicants through our website posting system
- Update College phonebook and organization charts, continuously posting updates on Blackboard
- Process invoices for recruiting and pre-employment testing expenses
- Maintain supply inventory for the office
- Maintain employee files, creating new and purging old files for new and terminated employees
- Distribute and maintain new employment paperwork, ensuring that tax and I-9 forms are validated and up to date
- Schedule appointments for retirement consultation sessions
- Schedule new employee orientation and create orientation kits
- Track receipt of several office mailings, including offer letters, performance evaluations, and other documents of importance as determined by the Assistant Directors or Assistant Vice President
- Supervise work study students assigned to department
Requirements:
QUALIFICATIONS: - Minimum of 2-3 years secretarial experience
- Intermediate knowledge of Microsoft Word, Access, Excel, and Outlook
- Ability to perform Mail Merge functions is desirable
- Significant phone experience; excellent phone and people skills
- Knowledge of Microsoft Windows 2007 and SCT Banner a plus
- Excellent organizational skills, including the ability to track assignments that must be initiated and completed weeks into the future
- Ability to adhere to department's confidentiality policy
- Ability to multi-task with frequent interruptions
- Ability to work independently without being reminded of what needs to be completed
Additional Information:
This is a temporary 16-week position. The expected duration of this assignment is from about December 16th - April 9th. The employee will NOT be eligible to participate in the College's benefits plan.
For the first 12 weeks of this assignment, the employee will work full time, 40 hours a week. During the remaining four weeks, the employee will work part time, 20 hours a week.
Work Schedule: Monday-Friday 8:00am-4:30pm
Salary: $12.75/hour
